Summer Residence Hall Closing and Move-out Procedures

With final exams and move-out taking place during the same week, parents and students alike should prepare for busy times May 12 - 16.

All residence halls will close at 8 PM on May 16. This means that students will have to move all their belongings out of their rooms, clean their rooms thoroughly, and check out of their room following Residential Life's standard procedures.

Checking Out

To ensure a smooth transition for students and parents, Residential Life has a set of procedures in place for check out. It is very important that students follow these procedures to ensure that necessary paperwork is completed and unnecessary charges are avoided.

One of the main portions of the check-out process is assessing the room for damages that were not present at the beginning of the year. Upon move-in, all students filled out a Room Inventory and Condition Check (RICC) form. During check-out, student staff will review the form and indicate any additional damages present. Student staff will also determine whether or not the room's occupants should be charged for cleaning. (To learn more about avoiding cleaning charges, click here.)

Students can approach the check out process in one of three ways:

  • Students leaving before Wednesday, May 14 should contact their student staff member to schedule a time to check-out. Many student staff members will have a sign up sheet on their room doors. Students should keep in mind that their staff members are also students who need to prepare for finals. It is important that students provide enough advanced noticed for staff so they can fit checkouts into their schedules.
  • Students leaving on or after Wednesday, May 14 need to sign up for a check out time at the building's front desk. Check-out times are first-come/first-serve, so students should sign up early to ensure they get a spot that is convenient and accommodates their travel plans.
  • Students checking out between Wednesday, May 14 and Friday, May 16 will have the opportunity to express check out. Students who choose the express check out option do not need to schedule an appointment with a staff member or with the information desk. To express check out, students must go to the front desk, pick up an express check-out envelope, complete the envelope, and return the envelope with their key inside to the desk. By selecting this option, however, students are choosing to waive their rights to be present when a staff member checks their room for damages.

Avoiding check-out charges

Students who do not return their keys will be charged at least $60; in some suite options, a lock change can cost more than $100. This is to ensure the safety of the next student who occupies that room.

Because of the additional efforts and inconvenience for Residential Life staff, students who are not checked out by 8 PM on May 16 will be charged an improper check-out fee. It is important that all students check out on time so that Residential Life staff can begin preparing the halls for the summer. Residential Life buildings provide housing for summer camps and conferences as well as interim and summer school students. Participating in these summer endeavors helps Residential Life keep housing costs down for students throughout the academic year.

Staying after 8 PM on May 16

Although the residence halls close at 8 PM on May 16, Residential Life does recognize that there are students who may have legitimate reasons to remain in the hall after their contract expires. Students who have a need to remain in the hall after closing should talk with their Hall Coordinator. Typical reasons to stay late include graduation, evening exams on May 16, long-distance travel (i.e. to/from out of state), and moving to interim housing. The Hall Coordinator will approve individuals to stay late on a case by case basis. Each Hall Coordinator will set a deadline for receiving late-stay request so s/he has time to make arrangements for students to have swipe card access after the halls close. No student can remain in the hall past 8 PM on Sunday, May 18.
